1. Scope & Understandability
These Terms of Use govern the use of the mobile app HelloKiwi. By installing or using the app, you agree to them.
We keep our rules deliberately short and easy to understand. Details about data processing can be found in our Privacy Policy. Legal information is provided in the Imprint.
2. What HelloKiwi can do
HelloKiwi helps you plan and organise your trips – clearly and offline-friendly.
- Trip & destination management: destinations, notes, images, accommodations, flights, trains, cruises, activities.
- Tasks & appointments: to-dos per trip, reminders.
- Expenses: costs per trip and in the overview.
- Packing lists: your own and suggested lists.
- Account & synchronisation (optional): sync trips between devices via the HelloKiwi server.
- Sharing trips (optional): share trips with other HelloKiwi users and edit them together – on iOS and Android (via the HelloKiwi server).
- Optional AI assistance: packing list suggestions as well as country and flight information.
- Information: places, weather, flights, currencies (third-party services).
Note: functions may evolve through updates – we will inform you of major changes in the app.
3. Account (optional)
You can use HelloKiwi without an account; your data then stays on your device. For synchronisation and sharing you need an account. You create it by signing in with Apple, with Google, with a code sent to your email address or with a passkey.
- Sign in only with your own Apple or Google account or your own email address, and protect your device and account; do not share your access.
- You can create an account from the age of 16; younger people need the consent of their parents or guardians.
- You can delete your account in the app at any time (“Delete account and server data”).
- In case of violations of these terms (see “What is not allowed”) we may suspend or delete an account.
4. Permissions – you decide
Depending on your use, the app asks for access, e.g.:
- Calendar: add and check trip and appointment events (local; only with your consent).
- Notifications (on Android also exact alarms): reminders for trips, tasks and appointments (only with your consent).
- Camera/photos/files: take or select images and documents (via the system picker; no disclosure by us except when synchronisation is enabled).
- QR code scanner (Android): scanning invitation codes; this is done by the Google scanner on your device, the app receives only the code.
You can revoke permissions at any time in the system settings.
5. Where your data is stored
Your content (e.g. trips, photos, notes) is at first stored locally in an app database on your device. Local data is removed on uninstallation.
When you sign in, your content is additionally stored on the HelloKiwi server (data centre in the EU), synced between your devices and – if you share – visible to the members of the trip. Details are in the privacy policy.
Earlier iOS versions synced data via Apple iCloud. The current app takes over such data once, on its first start, and stores it on your device; after that it no longer uses iCloud.
6. Backups
We back up the HelloKiwi server regularly and in encrypted form. These backups serve to restore the service after failures; there is no entitlement to restoration of individual data. Therefore export important data yourself (“Export my data” in Settings).
System-level backups (e.g. Apple iCloud) are outside our control; the rules of the respective provider apply.
7. Optional AI features – explained transparently
If you use AI features, we process only the content necessary to carry out your request. The following applies:
- Little data: only the information needed for the respective feature is transmitted (e.g. trip title, period, number of participants, destinations, themes, means of transport and language; for flight information the flight number and flight date) – no names of people, email addresses or addresses. The trip title is free text: do not enter personal data there.
- Purpose limitation: the content is used solely to carry out your request.
- No permanent storage by us. According to its statements, the provider may store content briefly to detect misuse.
- No model training: according to the provider, your content is not used to train general AI models.
- No guarantee: AI content is marked as such. It may be incomplete or wrong; check it yourself, especially flight and entry information.
- Reporting: you can send us inappropriate or wrong AI content with “Report content”.

8. External content & links
We integrate third-party services and content (e.g. maps, places, weather, flights, booking links, Google sign-in). The respective providers are responsible for this content; their terms and privacy rules apply. Which data goes to whom is described in the privacy policy.
For signing in with Apple or Google, the terms of the respective provider also apply.
Example: opening hours or ratings may change – always check the official sources for binding information.
9. Shared trips – rules
- The owner of a trip is whoever created it. Only the owner invites, approves requests, removes members and can delete the trip.
- Members see the content of the trip (including attachments) and can edit it. Everything members enter is visible to all members.
- Before approving, check who is requesting (name and email address). An invitation is valid for one person and 14 days; give the code only to the intended person.
- You are responsible for the content you put in shared trips and for being entitled to enter third-party data (e.g. of travel companions) there.
- If the owner removes a member or a member leaves the trip, they lose access; content already entered stays in the trip.
- If the owner deletes their account, the trip passes to the member who has been involved the longest, otherwise it is deleted. Therefore secure important content yourself with an export.
10. Time-critical information
Information such as flight times, opening hours or event times may change at short notice. Official information provided by the respective providers is authoritative. We are not liable for any damages arising from the use of such information.
11. Availability & updates
We do our best to keep the app stable – without data selling or tracking. However, uninterrupted availability or complete error-free operation cannot be guaranteed.
Updates may add, improve or remove features. For significant changes, we will notify you in the app.
The HelloKiwi server may be temporarily unavailable due to maintenance or faults; local use of the app is not affected.
12. Security & no trackers
HelloKiwi uses no advertising tracking, no advertising IDs and no profiling. We only record usage statistics on our own server if you agree; you can switch them off at any time in the settings. More details can be found in the privacy policy.
13. What is not allowed
To keep the app safe for everyone, the following are prohibited, among others:
- reverse engineering, manipulation or bypassing protection mechanisms,
- automated mass access or interference with operation,
- storing, processing or distributing illegal content, including:
- child sexual abuse material (CSAM) or any form of sexual violence,
- pornography that is illegal in your country (e.g. non-consensual, violence-glorifying, bestiality),
- content violating privacy, copyright, trademark or property rights of others,
- extremist, hate-inciting, discriminatory or violence-glorifying content.
Important notes:
- Your data is stored locally on your device; when synchronisation is enabled and when sharing, it is also stored on our server. We do not systematically scan your content and do not actively moderate it.
- You are solely responsible for content you store in or share from the app (e.g. exports/sharing).
- Zero tolerance for CSAM: If we receive legally validated reports of CSAM, we comply with legal obligations and – where required – cooperate with authorities.
- If you share trips with other people, you must ensure that you do not send unlawful, confidential or non-consensually shared content.
- In case of violations or legally reliable indications, we may block or delete content and suspend accounts.
14. Liability – fairly regulated
You use HelloKiwi at your own responsibility. Statutory consumer rights remain unaffected. Liability for device faults, data loss, conflicts with external backups, outages of the HelloKiwi server or damage outside our sphere of influence is excluded to the extent permitted by law. We are liable in accordance with the statutory provisions for intent, gross negligence and injury to life, body or health.
We assume no responsibility for third-party services and infrastructure (in particular Apple, Google, OpenAI, App Store and Play Store, operating system, network connection as well as weather, flight and place services); outages or restrictions may affect synchronisation, shared trips and additional information. Create an export of important data regularly.
15. Costs & in-app purchases
The basic version is free. Future additional features may be offered as optional in-app purchases. Prices will be displayed transparently in the app.
16. Intellectual property
Designs, logos, layouts and content of HelloKiwi are protected by copyright. Use outside the app or duplication is only permitted with prior consent.
17. Ending use
You can end your use at any time: by signing out, by deleting your account in the app (“Delete account and server data”) – which deletes your server data (details in the privacy policy) – or by uninstalling, which removes the locally stored data.
In the event of serious or repeated violations of these terms we may suspend or delete an account; we will inform you where possible and permitted.
18. Youth protection
HelloKiwi contains no content unsuitable for children or young people and can be used by everyone without an account. You can create an account (for synchronisation and sharing) from the age of 16; younger people need the consent of their parents or guardians.
19. Export restrictions
The app may use cryptographic technologies. Usage may be subject to local export regulations.
20. Changes & notifications
We adapt these terms when services or legal situations change. For major changes we will notify you in the app and, if required, request renewed consent.
21. Applicable law
The material law of the Kingdom of Spain applies. Your mandatory consumer protection rights in your country of residence remain unaffected.
22. Severability clause
If any provision is invalid, the remaining provisions remain effective. The invalid provision will be replaced by a permissible rule that most closely reflects its purpose.
